How to manage templates in Reply

Learn how to create and easily manage templates in Reply

Reply offers you many ways to handle email templates, in particular, you can:

  • Create a new template

  • Move your template to a folder

  • Move a template to a team folder

  • Copy a template

  • Remove a template

  • Edit an existing template

  • Create a personal/team folder

  • Edit personal/team folders

  • Share a personal folder with your team

  • Search for a template by name

Create a new template

To create a new template, simply press the red Plus button on the top-right corner of the Templates page:

Enter the template name (only you can see it), the subject (you can leave follow-up templates blank if you want them to be sent in the same thread), and write/copy your text. You can also format your text, insert links, variables, as well as attach files and images.

Move your template to a folder

To move templates to the desired folder, simply tick a template/templates, select the Move to folder icon as shown on the screenshot below, and choose the folder from the drop-down list:

Move template to a team folder

On the Templates page, select one or several templates from the list. Choose the Move to folder action from the top menu and then a team folder from the drop-down.

Please note that the templates moved to team folders from your personal folders become visible to everyone in your team. They can be shared in both Team Edition Private and Team Edition Public modes.

Copy a template

You can also clone any template and quickly create new improved versions based on the copied template. On the Templates page, select any template and then the Copy template icon on the top-right corner of the template view:

Remove a template

To remove a template that you no longer need, simply click the Trash icon from the template view:

Please note that the template will be removed from the list but not from the DB. The template should still be visible in the sequence stats and on the Reports page until the sequence is removed or archived.

Edit an existing template

By clicking on a template, you can read the template copy and edit it:

Please note that if you created a sequence step using a template and then edit the template, the sequence step won’t pick up the changes.

Create a personal/team folder

To create a new folder, click on the Plus button next to the selected folder group. In the pop-up window, enter the folder name and click Save:

To edit a personal or team folder, hover over the desired folder and select the Edit action icon from the drop-down list. In the pop-up window, edit the folder name and click on Save:

Share a personal folder with your team

To share a personal folder with your team, hover over the desired folder and select the Share action icon from the drop-down list:

Your personal folder now becomes visible to everyone in the team and moves to the Team section of folders.

Search for a template by name

Open the Templates page, click Search at the top of the template list. In the search field, you can find any template by its name:
