They don't create new contacts, and the contact must be synced between both platforms for the trigger to work. Triggers also don't apply to past events. They only run for events that happen after the trigger is enabled.

Integration with RB2B

Integrating RB2B with your Reply account lets you automatically add new US-based prospects into Reply sequences and contact lists, allowing you to reach out to them quickly. This integration is available exclusively for RB2B Pro users and works only for US-based traffic. Follow these steps to set it up: Step 1. Activate Your RB2B Account - Make sure you have an active RB2B Pro account before setting up the integration. Step 2. Get the Webhook URL from Reply - Go to the Integrations page in your Reply account. - Click on "Configure" under RB2B and copy the webhook URL. Step 3. Configure the Integration in RB2B - Log in to your RB2B account and go to the Integrations page. - Find the Reply.io integration and click on "Set up integration". - Paste the copied webhook URL into the "Webhook URL" field. - Enable the integration by toggling the Status switch. Step 4. Map your sequences, lists, and contact fields Animation - You can choose to map your leads to a specific sequence or a list in Reply, or both. If you don't select a sequence or list, the leads will simply be uploaded to your Reply account. If you add them to a sequence, you can reach out to prospects who visit your website through email or social media within minutes of their visit. Adding them to a list helps keep prospects from your website separate from those added via imports or other integrations. - Map the contact fields from RB2B to Reply. Most fields are default ones and will be mapped automatically. These include: First Name Last Name Title Company Name Industry Employee Count State City LinkedIn URL Business Email - You can also map additional fields like Website, Zip Code, and Estimated Revenue. These fields can be synced to custom fields in Reply, and if you select "Match all fields," custom fields with the same names will be created accordingly. 💡 Tip: Once you have everything set up, you can send a test event from RB2B to your Reply account to check if the test contact is added to your account, list, or sequence as expected. Now that your integration is set up, you can engage with potential leads quickly and efficiently.

Zapier integration

About Zapier Zapier lets you automate tasks between Reply and other platforms. This is useful when there's no direct integration available. You can connect Reply with thousands of apps and build automated workflows called Zaps. Each Zap consists of a trigger (an event that starts the workflow) and an action (what happens next). Supported triggers and actions Triggers – events in Reply that start a Zap: 1. New Emails Sent – triggers when an email is sent (first step or a follow-up). 2. New Email Opened – triggers when a prospect opens your email. 3. New Email Replied – triggers when a prospect replies to your email. 4. New Person Opt Out – triggers when a prospect clicks the opt-out link. 5. New Person Bounce – triggers when an email address bounces. 6. Website visitors

Website Visitors helps you capture leads who visit your website and bring them into your outreach workflow. You can engage prospects who already showed interest by visiting your site and start outreach based on real intent. Once set up, Website Visitors creates contacts in your account and lets you automatically add them to sequences or lists. How to set up Website Visitors? 1. Go to Execution → Website visitors. 2. Click Add new. 3. Add your website URL. The website name is created automatically, but you can edit it. 4. Choose how contacts should be added and updated: - Select lists or sequences to add website visitors to. If you skip this step, contacts will be added only to your general contact list on the People page. Please note that only new contacts can be added to lists and sequences; existing contacts will not be pushed to them. - Choose how existing contact data should be handled. You can select Update empty fields (new data will be added only where fields are currently empty and won't overwrite existing information) or choose Don't update any fields. This setting applies to all contacts, including existing ones. If new data is detected from a website visit, it will be handled based on this selection. - Decide whether to add contacts that don't have an email address or LinkedIn profile. By default, all contacts are added even if this information is missing, but you can uncheck the LinkedIn or Email boxes to include only contacts that have this information. - Map custom fields. You can choose which custom fields to sync to Reply in addition to the default ones. 5. Click Create. 6. After that, you'll see the tracking script. Copy the script and paste it into the header of your website. Refer to this guide for instructions on how to add the script to common CMS or website builders. 7. Once installed, return to Website visitors and check the status – it should be Active. 💡 Custom fields that can be synced from Website Visitors include Company Phone, Company Country, Company State, Company City, Company Address, Company Zip, Company LinkedIn URL, Company Revenue, Company Description, Work History, Number of LinkedIn Connections, Education History, Seniority Level, and Department. When someone visits your website, Reply checks whether this person already exists in your account before creating a new contact. The system checks for matches in the following order: 1. Email address 2. LinkedIn profile 3. First name + Last name + Company Reply runs these checks one by one. If it finds a matching contact based on any of these identifiers, it'll update an existing contact. If none of the checks return a match, Reply creates a new contact in your account. Contacts created from website visits include only the information available for each visitor, so some contact fields may be left empty. Statuses Each website connection has a status, so you can quickly see if tracking is working. Active – Website tracking is working correctly. Site unavailable – The website link is not valid. Not installed – The script was not added to the website header. If you need the script again, click View connection instructions to access it anytime. How to identify website visitor contacts? If you didn't select a list or a sequence, contacts are added to the general People page. To find contacts added from website visits, click the eye icon next to a specific website tracking. You'll be redirected to the People page, where the filter will show both newly created contacts and existing contacts that were updated. Once contacts are created from website tracking, you can also export them from the Website Visitors page. The exported CSV file includes: - Contact ID - FirstTrackedAt How to delete a website tracking? To remove a website from tracking, follow these steps: 1. Remove the tracking script from your website. 2. Go to Execution → Website visitors. 3. Delete the website tracking in Reply. 💡 Important: the system won't let you delete a website until the script is removed. Deleting a website tracking does not delete contacts that were already created. All previously added contacts will remain in your account. Pricing By default, your account includes 200 free website visitor credits. Once Website Visitors is set up, up to 200 new contacts can be automatically added to your account. If you need more credits, you can purchase a Website Visitors add-on. Monthly add-ons are available for monthly Reply plans, and annual add-ons are available for annual plans. 💡 Note: If you're on an AI SDR plan, website visitors are already included, so you don't need a separate add-on. Available add-ons Monthly subscription: - Website Visitors 300 – $49/month - Website Visitors 800 – $89/month - Website Visitors 3000 – $149/month - Website Visitors Unlimited – $199/month Annual subscription: - Website Visitors 300 annually – $39/month - Website Visitors 800 annually – $69/month - Website Visitors 3000 annually – $119/month - Website Visitors Unlimited annually – $159/month How to add or change the add-on? 1. Go to Plans & Billing. 2. Click Manage current subscription. 3. Select the add-on you want under Website Visitors. You can upgrade at any time, and the new add-on will apply immediately. If you downgrade, the change will take effect on the next billing date. Until then, you can continue using your current add-on.

Sync steps in HubSpot integration

The HubSpot integration lets you sync contacts, statuses, calls, tasks, emails, and LinkedIn activities between Reply and HubSpot. This article explains how each sync step works and what data is synced between the two platforms. 👉 See HubSpot integration for information on how to set up the integration and add sync steps. Contacts You can sync contacts in both directions between HubSpot and Reply. For contact sync, Reply has two predefined field mappings: - First Name (HubSpot) → First Name (Reply) - Email (HubSpot) → Email (Reply) You can also set up additional field mappings, including custom fields. When syncing contacts from HubSpot to Reply, you can choose to add them to a sequence as part of the sync. 💡Contacts need to exist in both systems for activity sync to work. If the contact isn't available in HubSpot, their calls, tasks, emails, or LinkedIn activities won't be synced. Contact statuses The People Statuses in Reply → Lead Status in HubSpot sync step lets you map people statuses from Reply to lead statuses in HubSpot. The following mappings are preset: - Replied (Reply) → Select HubSpot field - Opted-out (Reply) → Unqualified (HubSpot) You can change them or add more Reply statuses to the sync and map them to the relevant HubSpot lead status. In the Advanced settings section, you can enable or disable the Sync each status only once toggle. 💡If multiple statuses are mapped, the sync follows the order in which they are mapped. Inbox categories Inbox Categories in Reply → Lead Status in HubSpot lets you map Inbox categories in Reply to lead statuses in HubSpot. The following mappings are preset, but you can change them: - Interested (Reply) → Select HubSpot field - Not now (Reply) → Select HubSpot field - Do not contact (Reply) → Unqualified (HubSpot) You can map each Inbox category to the relevant HubSpot lead status. In the Advanced settings section, you can enable or disable the Sync each status only once toggle. Emails Automatic, manual, and direct emails are synced to HubSpot as Logged email activities. Example: The following mappings are predefined: - Email (Reply) → Logged email via Reply (HubSpot) - Contact (Reply) → Associated record (HubSpot) - Date & time of completion (Reply) → Activity date (HubSpot) - Sequence name, Subject line (Reply) → Email subject (HubSpot) - Email text (Reply) → Email body (HubSpot) - Task assignee (Reply) → Logged by (HubSpot) In HubSpot, you can see whether an email was outbound or inbound, as well as the sequence name and step it was sent from, if available. To view these details: 1. Open the email in HubSpot. 2. Click Actions → View all properties. 3. Check the Email subject field. 💡Reply matches contacts using their email address in HubSpot. Emails sent to a secondary email address aren't synced. Calls Reply can sync calls as contact tasks in HubSpot and associate them with the matched contact. Example: The following field mappings are predefined: - Contact (Reply) → Associated record (HubSpot) - Call Outcome: Positive resolution (Reply) → Connected (HubSpot) To call resolution (Reply) → No answer (HubSpot) Negative resolution (Reply) → Wrong number (HubSpot) - Call end time (Reply) → Activity date (HubSpot) - Call notes (Reply) → Description (HubSpot) - Recording link (Reply) → Recording (HubSpot) - Call duration (Reply) → Duration (HubSpot) 💡Custom call resolutions don't have a corresponding HubSpot disposition. Tasks Reply can sync tasks to HubSpot and associate them with the matched contact. Example: The following field mappings are predefined: - Task type (Reply) → Task type (Call, Email, To-do) (HubSpot) - Contact (Reply) → Associated record (HubSpot) - Sequence name, Task subject, and Task message (Reply) → Task notes (HubSpot) - Due date (Reply) → Due date (HubSpot) - Task assignee (Reply) → Activity owner (HubSpot) When tasks are synced to HubSpot, the following fields are also set by default: - Priority: None - Reminder: No reminder - Queue: None In the Advanced settings section, you can enable the Sync only completed tasks toggle to sync only completed tasks. 💡If a manual email task is completed without sending the email, it's synced as a task. If the email is sent from the task, it's synced as a logged email. LinkedIn activities You can sync automated LinkedIn activities performed as part of sequences, as well as direct LinkedIn messages and InMails sent outside a sequence. 💡Manual LinkedIn tasks and replies from prospects on LinkedIn are not synced. Example: The following field mappings are predefined: - LinkedIn activity type (Reply) → Task name (HubSpot) - Contact (Reply) → Associated record (HubSpot) - Sequence name (Reply) → Task notes (HubSpot) - Completion date and time (Reply) → Date and time (HubSpot) - Voice Message file (if available) (Reply) → Associated file (HubSpot) 💡For LinkedIn steps, only activities performed after the integration is enabled are synced. Historical activities aren't added to HubSpot. For Voice Message activities, the audio file is also attached to the HubSpot task, so you can access it directly from the task record.

Ownership mappings in Salesforce integration

Ownership mappings help you control how contacts and their activities – such as emails, calls, and LinkedIn steps – are assigned among team members when syncing between Reply and Salesforce. This is especially useful when multiple people on the same team work with synced contacts. How ownership mappings work For each sync step and direction, you can map Salesforce owners to Reply owners. This defines who will receive and manage the synced contacts and activities. Ownership mappings are configured separately for each sync step, so you need to set them up for each flow you use, including activities like emails or calls. By default, the connected Salesforce account is mapped to the Reply account used for the integration. You can update this and create multiple owner pairs if needed. For Salesforce → Reply sync, each Salesforce owner can be mapped only once, while Reply owners can be selected multiple times. For Reply → Salesforce sync, each Reply owner can be mapped only once, while Salesforce owners can be selected multiple times. Set up ownership mappings To map the owners: 1. Go to Integrations → Salesforce. 2. Open the sync step and click Configure. 3. Click on Add owner mapping in the Ownership mappings section. 4. Match Salesforce owners with Reply owners. 5. Click Save. You can also click Save and apply for all steps to use the same mappings across all sync steps. Don't change owner on updates You can enable the Don't change owner on updates toggle in Ownership mappings if you want existing record owners to stay unchanged. When enabled: - Ownership mappings apply only when a record is created for the first time. - Existing record owners aren't changed when the record is updated. This is useful if you use different owners in Reply and Salesforce and don't want sync updates to overwrite them. Important notes - Do not use Owner ID filters together with ownership mappings. These settings conflict and may prevent contacts from syncing correctly. - Make sure you do not have Automatic Assignment rules set up in Salesforce, as they can interfere with ownership mappings configured in Reply. - In the People to sequence section, select only owners that are included in your ownership mappings. If an owner is not mapped, contacts will not be assigned to them or added to sequences. - If you're working in a team, set up the integration from the team owner's account and map other team members using ownership mappings. This helps avoid conflicts if the integration is also enabled for other teammates.
