Learn how to use agency dashboard to access the comprehensive view of metrics related to the activities and performance of your agency

If you're using Reply as a member of an agency to manage email campaigns for your clients, you can use the Agency Dashboard to track the performance of your activities (as well as those of other users connected to the Reply account) and identify areas for improvement.

To access the agency dashboard, click on "Reports" in the top menu and select "Agency."

Agency dashboard offers a comprehensive overview of your email campaigns' performance. This powerful tool presents all relevant calculated metrics associated with your agency, enabling you to compare results with the previous week or client reporting period, analyze data across multiple email accounts, and set key performance indicators (KPIs).

The dashboard includes a section at the top that provides general metrics, along with the following tabs:

Below, you will find detailed descriptions of all the components on the dashboard, including an explanation of what the numbers represent and how they are calculated.

Agency dashboard overview

Agency dashboard includes two sections:

  • general metrics and filters on top;

  • panel with tabs (KPI charts, KPI lists, User / Team performance, Email users, Email accounts, LinkedIn, and Tasks).

The top section of the dashboard displays metrics such as:

Metric

Description

Total touches

Total touches refer to all the actions taken within your Reply account, including sending emails (excluding direct emails), SMS messages, making phone calls, sending LinkedIn messages, connection notes, and InMails. This metric also includes completed LinkedIn, WhatsApp, and ToDo tasks.

Total prospects contacted

Total prospects contacted refers to the number of contacts with whom your agency has interacted, including those who have responded or scheduled a meeting.

Booked meetings

Booked meetings refer to the total number of meetings that have been scheduled as a result of your agency's outreach efforts. This metric is an important indicator of the effectiveness of your agency's sales or outreach strategy.

Meeting conversion

Meeting conversion is the percentage of total touches that result in a booked meeting. This metric is calculated by dividing the number of booked meetings by the total number of touches and then multiplying by 100. A high meeting conversion rate indicates that your agency is effectively engaging with prospects and successfully turning them into leads.

Replies

Replies refer to the total number of responses received from your contacts, including replies to emails, SMS messages, and automated LinkedIn messages (including regular messages, connection notes, and InMails). This metric also includes responses to calls with a positive resolution.

Replies conversion

Replies conversion is the percentage of total touches that result in a reply from a contact. This metric is calculated by dividing the total number of replies received from your contacts by the total number of touches and then multiplying by 100. A high replies conversion rate indicates that your outreach efforts are resonating with your target audience.

Completed manual tasks

The total number of tasks that have been finished, regardless of whether they have been deleted after completion.

Created manual tasks

The total number of active tasks that have been created, regardless of whether they have been deleted after creation.

In the upper right corner, you can use a panel with filters to customize the viewed metrics. These filters include:

  • All teams: Use this filter to view metrics for the selected team(s) if you have several teams.

  • All owners: Use this filter to view metrics for the selected owner(s) of contacts.

  • All time: Use this filter to view data by week, month, or year, view it for all time, or set a custom timeframe.

  • Smart filters: Click on the icon to show a panel with additional filters. You can use different combinations of filters to view specific data in the reports. You can find descriptions of smart filters in this article.

Important. Filters may also affect the metrics and results shown in the tabs below.

KPI charts

The KPI charts showcase the Key Performance Indicators (KPIs) that have been created in your Reply account for users and teams. Within this tab, you can monitor your performance results and conveniently create new KPIs in real-time.

On the chart, you can view the KPI name, related team (user), status, KPI date, and completion rate. A detailed chart showcases the completion rate by day and the number of activities that were completed. You can compare performance results with last week or the client report period.

Click on the List view or Grid view to switch between vertical and horizontal modes for KPI charts correspondingly.

To create a KPI, follow these steps:

  1. Open the KPI charts or KPI lists tab.

  2. Click on the "New KPI" button.

  3. Add the KPI name and select the user for whom this KPI will be applicable.

  4. Select the KPI type. Available types are: Booked meeting, Prospect contacted, Replies, Interested.

  5. Set the target - the amount of activity that should be completed.

  6. Set the "from" - "to" timeframe when the KPI will be tracked.

  7. Click Save.

That's it. Your KPI will be shown in the KPI charts and added to the KPI lists tab.

To edit or hide KPI, click on the three vertical dots in the section with the desired KPI and click on the corresponding action.

Please note:

  • If you are using the Reply account for organizations with teams, you can view KPIs for all teams and are allowed to delete or edit them.

  • As a team member, you can view the KPIs that were set for the teams in which you are included.

KPI lists

KPI lists provide a comprehensive view of all the KPIs that have been set in your Reply account, allowing you to access specific metrics in more detail.

Here, you can also use the New KPI button to add a new KPI.

All the KPIs are listed in the grid with the following columns:

Column

Description

KPI name

The name of the KPI.

Type

The type of KPI. Available types are: Booked meeting, Prospect contacted, Replies, Interested.

Target

The target refers to the desired amount of activity that should be completed according to the KPI.

Duration

The timeframe in which the KPI will be calculated.

Completion

Completion represents the status of the KPI, indicating whether it is complete or finished. The first number denotes the amount of activity that has been completed, while the second number indicates the initial target.

Status

Available statuses are: On track, Completed, Overdue.

User

User for which the KPI was assigned.

Team

Team to which the KPI was assigned.

Show KPI chart

Click on the icon to show or hide the selected KPI on the KPI charts tab. You can choose several KPIs or all of them at once.

Actions

Additional actions that you can take on the KPI:

  • Edit KPI

  • Delete

The column with additional actions on the KPI looks as follows:

Please note:

  • The filters located at the top of the page do not affect the KPI charts and KPI lists tabs.

  • The first four KPIs that are added will be automatically displayed as the initial entries in the KPI charts tab.

User / Team performance

Depending on the type of account, you will see the User or Team performance tab.

This tab displays key results for different metrics, such as the number of total touches or booked meetings across different users and teams that are connected to your Reply account.

All the performance metrics are listed in the grid with the following columns:

If you use the Reply account for organizations with teams, you will see the Teams & Users column. Just click on the Team name to view the detailed results for each team member.

If you view the Users column, the grid will show all results for all users that are connected to your Reply account. Deleted users are also a source of statistics.

Total touches

Total touches represent the overall number of interactions made, including sent emails (excluding direct emails), SMS, calls, LinkedIn messages, LinkedIn connection notes, InMails, LinkedIn tasks, WhatsApp tasks, and completed ToDo tasks.

Prospect contacted

The number of prospects with whom you have been in contact with. This includes prospects who have responded to your touches or with whom you have scheduled a meeting.

Booked meetings

Amount of meetings booked.

Replies

The total number of responses received from your contacts, including replies to emails, SMS messages, and automated LinkedIn messages (including regular messages, connection notes, and InMails). This metric also includes responses to calls with a positive resolution.

Replies conversion = Replies / TotalTouches * 100

Completed manual tasks

Amount of finished tasks (even if they have been deleted after finishing).

Created manual tasks

Amount of active tasks (even if they have been deleted after creation).

You can also filter data by clicking on Date, Team, User Filter, or Smart Filters.

Important. The filters selected on the top will affect the metrics shown in the User / Team performance tab.

Email users

Email users tab displays performance metrics for each user connected to your Reply account. In this tab, you can compare data in the dashboard so that you can easily identify the most effective user accounts for your email campaigns.

If you are using the Reply account for organizations with teams, results for users will be grouped by the teams to which they belong. You can view the overall results for each team. Expand the team to view all users that belong to it and their metrics.

By clicking on the title of the column, you can also sort all the results in ascending or descending order. Here's the description of all columns in the grid.

If you are using the Reply account for organizations with teams, you will see the Teams & Users column. Just click on the Team name to view the detailed results for each team member.

If you view the Users column, the grid will show all results for all users that are connected to your Reply account. Deleted users are also a source of statistics.

Deliveries

The number of prospect emails that were successfully sent and reached the recipients without bouncing.

Opens

Open rate % = open count / contact count * 100.

Open count = the number of prospects that open emails.

Replies

The number of prospect emails that were successfully delivered (without bouncing) and for which you received an email reply. This count excludes prospects who are in the status of 'Out of Office' or 'Auto replied.'

Reply rate % = Replied count / Contacted count * 100.

Clicks

Clicked count: number of prospects that clicked at least one link in at least one email.

CTR

CTR = Clicked / Open x 100.

Bounce rate

The number of prospects emails sent to whom have been rejected (most probably because the prospect's email address is not valid).

Bounce rate % = Bounced count / Prospects count * 100.

Opt outs

The number of prospects to whom emails have been sent and they have opted out of receiving emails (expressed desire to stop receiving such emails).

Not reached

The Not reached key metric shows how many emails have not been delivered for a variety of reasons.

Interested

The number of prospects that were categorized or marked as 'Interested' after emails were sent to them.

Booked meetings

Amount of meetings booked.

Email accounts

Email accounts tab displays performance metrics for each email account connected to your Reply account. In this tab, you can compare email account data in the dashboard so that you can easily identify the most effective email accounts for your email campaigns.

If you use the Reply account for organizations with teams, results for email accounts will be grouped by teams. You can view the overall results for each team. Expand the team to view all email accounts that belong to it and their metrics.

By clicking on the title of the column, you can also sort all the results in ascending or descending order. All columns are the same as on the Email users tab.

LinkedIn

The LinkedIn tab displays results and metrics that relate to outreach efforts on LinkedIn made by different teams and users.

All results are shown for each connection type per user. By clicking on the title of the column, you can also sort all the results in ascending or descending order.

Here's the description of all columns in the grid:

  • Connections sent

Sent: The total number of LinkedIn connections sent, both manually and automatically.

Accepted (auto): The rate of connections accepted (sent auto connections / accepted auto connections); the total number of automated connections approved.

  • Messages sent

Sent: The total number of LinkedIn messages sent, including manual and automated messages.

Replied (auto): The rate of replies to sent messages (sent auto messages / replied auto-messages); the total number of messages replied to.

  • InMail sent

Sent: The total number of InMail messages sent, including manual messages, automated messages.

Replied: The rate of replies to sent InMail messages (the total number of auto InMail sent / total number of auto InMail replied); the total number of InMail replied.

  • Auto connection notes

Sent: The total number of auto-connection notes sent.

Replied: The rate of replies to auto-connection notes (the number of auto-connection notes sent / the total number of replied connection notes).

  • Profile views: The total number of profile views made on LinkedIn.

  • Likes: The total number of likes made on LinkedIn.

Tasks

The tasks tab displays results related to tasks made by different teams and users.

Tasks are events that you can schedule to perform for contacts. These tasks can include various actions such as LinkedIn tasks, calls, manual emails, SMS, WhatsApp messages, and other outreach activities for your contacts.

The grid displays the total number of all tasks created by the user: calls, manual emails, LinkedIn tasks, SMS, WhatsApp messages, and to-dos). By clicking on the title of the column, you can also sort all the results in ascending or descending order.
