Tasks dashboard

The Tasks dashboard helps you analyze task records based on your selected reporting status, date range, and filters. It shows task counts, not the number of messages sent or unique contacts. Go to Reports→Tasks to open the Tasks dashboard. Reports menu in the left sidebar opened, with the Tasks option highlighted Access to the dashboard and other users’ data depends on your permissions. Overview The overview shows the total number of task records that match your selected filters, broken down by task type: Tasks dashboard overview showing total tasks broken down by calls, manual emails, LinkedIn, SMS, WhatsApp and to-dos - Total - Calls - Emails: Manual email tasks, not automatic sequence emails. - LinkedIn - SMS - WhatsApp - To-dos A task count does not necessarily mean that a message was sent or a call was made. Use the reporting status filter to narrow your results. Filter your results Reporting status Open All statuses, select Created or Completed, and apply your selection. Tasks dashboard reporting status filter set to All statuses These are reporting categories used to group task records. They are not cumulative totals of every task creation and completion event. Date range Choose a predefined period or set a custom date range. Tasks dashboard date range filter set to All time - Created reporting uses the task’s creation date. - Completed reporting uses the task’s finish date. A task created in one period and completed in another can appear in different periods, depending on the selected reporting status. Additional filters Open the filters panel to narrow your results by task type, user, sequence, or available contact criteria. Tasks dashboard additional filters button highlighted with one filter applied Tasks per team member This section compares task counts across team members, sorted from the highest total to the lowest. Tasks are attributed to their assigned user, who may differ from the person who created them. Tasks per team member table showing one user's total tasks broken down by calls, emails, LinkedIn, SMS, WhatsApp and to-dos. For each user, you can review the total task count and its breakdown by task type. Click a task count to open the corresponding records. Tasks dashboard with task counters at the top and a Detailed stats list of tasks with contact, status, owner and due date. Tasks by type chart The Tasks by type chart shows task counts over time, separated by task type. Tasks by type bar chart showing monthly task counts from January to October, colour coded by task type. To explore the chart: - Change the date range or reporting status to update the results. - Click a task type in the chart legend to hide or show that series. - Click a bar to open the matching task records for that task type and period. 💡Hiding a series changes only the chart display. It does not remove tasks from the report. Created and completed tasks The dashboard includes separate charts for Created tasks and Completed tasks. Each chart shows the distribution of task types within its reporting category. These charts use their own reporting status: - The Created tasks chart always shows Created records. Created tasks donut chart showing the share of calls, LinkedIn tasks and to-dos among created tasks. - The Completed tasks chart always shows Completed records. Completed tasks donut chart showing the share of calls, manual emails, WhatsApp tasks and to-dos among completed tasks. Both charts continue to use the other applicable report filters. Click a legend item to hide or show a task type, or click a chart segment to inspect the matching records. 💡These charts do not show a completion rate. They do not track what percentage of a group of created tasks was later completed. View individual task records Click a supported counter, team-member task count, chart bar, or chart segment to open a detailed view of the matching records. Detailed stats view listing individual task records with task type, contact, status, owner and due date. The detailed view includes: - Task: The task type, including the LinkedIn action where applicable. - Contact: The associated contact. - Status: The individual task’s status. - Owner: The assigned user. - Date: The task’s due date. 💡The Date column shows the due date, not the creation or finish date used to filter the report. Use the back control to return to the dashboard. Export task data Use the export control at the top of the page to request a CSV export based on your current filters. Export button at the top of the Tasks dashboard, highlighted with an arrow. Export is unavailable while the report is loading or when there are no matching results.

Organization dashboard

The Organization dashboard gives you a centralized view of your outreach activity and performance. You can compare results across workspaces and users, monitor email and LinkedIn activity, review tasks, and track progress toward your KPIs. To access the dashboard, go to Reports → Organization. Reports menu in the left sidebar opened, with the Organization option highlighted. 💡Your access to the dashboard and the available workspaces and KPIs depend on your reporting permissions. The dashboard includes the following tabs: - KPI charts - KPI lists - Workspace performance - Email users - Email accounts - LinkedIn - Tasks Dashboard overview The top of the dashboard shows summary metrics based on your selected filters. Organization dashboard summary metrics including total touches, prospects contacted, booked meetings, replies and manual tasks. | Metric | Description | | --- | --- | | Total touches | Outreach activity and task records included in the report. This is an activity count, not a count of unique contacts. | | Total prospects contacted | Distinct contacts represented in the report's activity. Each contact is counted once within the relevant reporting group. | | Booked meetings | Meeting records included in the report. | | Meeting conversion | Booked meetings divided by total touches × 100. | | Replies | Recorded responses across supported outreach channels, including calls with a positive resolution. | | Replies conversion | Replies divided by total touches × 100. | | Completed manual tasks | Task records classified as completed in reporting. | | Created manual tasks | Task records classified as created in reporting. This is not a cumulative count of every task ever created. | 💡A contact can appear under multiple users or workspaces. Because of this, adding individual contact counts may produce a different result from the overall distinct-contact count. Filters Use the filters at the top of the dashboard to narrow down the data: - Workspaces – view results for selected workspaces. Dashboard filter bar with an arrow pointing to the Workspaces filter. - Owners – view results for selected users. Dashboard filter bar with an arrow pointing to the Owners filter. - Date range – select a reporting period or set a custom range. Dashboard filter bar with an arrow pointing to the date range filter. - Smart filters – apply additional criteria to the report. Dashboard filter bar with an arrow pointing to the smart filters button. These filters affect the summary metrics and performance tabs. 💡Dashboard filters do not affect KPI charts or KPI lists. Each KPI uses its own workspace or user assignment and date range. KPIs KPI charts The KPI charts tab helps you monitor progress toward your targets. Each chart shows the KPI name, assignment, reporting period, progress, and daily results. You can switch between List view and Grid view. Workspace Performance tab with an arrow pointing to the expand control next to a workspace row. It includes: - Total touches - Prospects contacted - Booked meetings - Replies - Completed manual tasks - Created manual tasks The filters at the top of the dashboard apply to this tab. Email users The Email users tab shows email performance by Reply user. Results are grouped by workspace. Expand a workspace to view its users and their metrics. You can click supported column headers to sort the results. Email users tab showing a workspace row with deliveries, opens, replies, bounce rate and other email metrics. Email metrics are based on distinct contacts meeting each condition within the reporting group, rather than individual email messages. A contact can contribute to more than one metric. The available metrics include: - Deliveries – contacts with a delivered email. - Opens – contacts with a recorded open. Replies may also count as opens when the corresponding tracking setting is enabled. - Replies – contacts with a qualifying email reply. For sequence emails, Out of Office and Auto replied records are excluded from the contacted/replied calculation. - Clicks – contacts who clicked at least one tracked link. - CTR – clicked contacts divided by delivered contacts × 100. - Bounce rate – bounced contacts divided by the total contacts represented in the email report × 100. - Opt-outs – contacts recorded as opted out. - Not reached – for sequence emails, contacts recorded as bounced, auto-replied, or Out of Office. This does not necessarily mean that the email failed to arrive. - Interested – contacts whose conversation is categorized as Interested. - Booked meetings – contacts marked as having a booked meeting, not the total number of meeting events. Open rate is calculated as opened contacts divided by contacted contacts × 100. Reply rate is calculated as replied contacts divided by contacted contacts × 100. For sequence email reporting, the contacted count excludes bounced, Out of Office, and auto-replied records. Depending on the selected filters, email reporting can also include direct emails sent outside sequences. For direct emails, the contacted count uses delivered contacts, and Not reached counts bounced contacts. Email accounts The Email accounts tab shows performance by connected sending mailbox. Expand a workspace to view its email accounts and compare their results. You can also click supported column headers to sort the data. Email accounts tab showing a workspace row with email performance metrics and an arrow to the expand control. This tab uses the same metrics and calculation rules as Email users. Connections - Sent – total automated and manual connections sent. - Accepted (auto) – automatically tracked accepted connections. - Acceptance rate – automatically tracked accepted connections divided by total connections sent × 100. Messages - Sent – total automated and manual messages sent. - Replied (auto) – automatically tracked message replies. - Reply rate – automatically tracked message replies divided by total messages sent × 100. InMail - Sent – total automated and manual InMails sent. - Replied – automatically tracked InMail replies. - Reply rate – automatically tracked InMail replies divided by total InMails sent × 100. Automated connection notes - Sent – number of automated connection notes sent. - Replied – replies to automated connection notes. - Reply rate – replied automated connection notes divided by automated connection notes sent × 100. The tab also includes additional activity such as Profile views, Likes, Follows, Endorsements, and Comments, when available. 💡Connection, message, and InMail rates include both manual and automated activity in the total sent count. However, Reply does not automatically track all responses to manually sent activity. Tasks The Tasks tab shows task counts grouped by workspace and assigned user. Tasks tab showing task totals by type for a workspace. It includes totals and breakdowns for: - Total tasks - Calls - Manual emails - LinkedIn tasks - SMS - WhatsApp - To-dos Task counts follow the selected filters and are not limited to completed tasks. 💡The user associated with a task is its assignee, not necessarily the person who created it.

Calls dashboard

The Calls dashboard includes call records available to you based on your selected filters, including manually logged calls. It helps you understand call activity and review the records behind each metric. Go to Reports → Calls to open the Calls dashboard. Reports menu in the left sidebar opened, with the Calls option highlighted Calls overview The overview displays the following metrics: Calls dashboard overview showing total calls, average duration, positive, answered and missed calls - Total calls: The number of call records matching your filters, not the number of unique contacts. - Average duration: Total recorded call duration divided by the number of answered calls. - Positive calls: Calls with a resolution mapped to Positive. The percentage is calculated as positive calls divided by total calls, multiplied by 100. - Answered calls: Calls recorded with the Answered disposition. - Inbound missed calls: Inbound calls recorded with the No answer disposition. - Calls to contact: Total calls divided by answered calls. This is a ratio, not the number of contacts awaiting a call or tasks marked To Call. 💡Answered and Positive measure different things. An answered call is not automatically a positive call, and a manually logged call is not automatically classified as answered. Click supported counters, such as Total calls, Positive calls, or Answered calls, to view the matching call records. Filter your results Use the controls at the top of the dashboard to narrow the report by: - Phone number: Select the calling phone numbers to include. Calls dashboard phone number filter with its tooltip shown - Call resolution: Focus on specific call outcomes. Calls dashboard call resolution filter with its tooltip shown - Owners: Select users, where your permissions allow it. Calls dashboard owners filter with its All team tooltip shown - Date range: Choose a predefined period or set a custom range. Calls dashboard date range filter set to All time Open the additional filters panel to filter by call disposition, inbound/outbound type, custom call resolution, sequence, or available contact criteria. Calls dashboard additional filters button highlighted next to the other filters For call reporting, the date range applies to the call’s start date. Calls per team member This section compares call activity across team members, sorted from the highest total call count to the lowest. Calls per team member table showing calls, total minutes, average duration, answered calls and positive rate For each team member, you can review the total number of calls, total recorded duration, average duration, answered calls, and percentage of positive calls. Click a supported team-member entry or metric to view the corresponding call records. Calls over time The calls chart shows activity during the selected period, with separate series for Total calls, Answered calls, and Positive calls. Use the chart legend to identify each series. Click a supported chart point to inspect the calls contributing to that result. Monthly line chart of total, positive and answered calls with a hover tooltip on one point Calls by resolution A resolution describes the business outcome of a call. The chart groups calls by resolution: Calls by resolution donut chart showing positive and no resolution shares - Positive: A positive call outcome. - Negative: A negative call outcome. - To Call: Further calling is needed or the call has been postponed. - No resolution: No resolution has been recorded. Your workspace may use custom resolution names. Custom resolutions can be mapped to Positive, Negative, or To Call. Hover over a chart segment to view its count and percentage. Click a segment to open the matching call records. Calls by disposition A disposition describes the recorded call status, not its business outcome. The chart groups calls into the following categories: Calls by disposition donut chart showing answered, logged manually, no answer and failed calls - Answered - Logged manually - No answer - Busy - Failed Hover over a chart segment to view its count and percentage. Click a segment to inspect the corresponding calls. Example: A call can have an Answered disposition and a Negative resolution. The disposition describes the call status, while the resolution describes its outcome. Answered calls by day and time The Answered calls chart groups answered calls by day of the week and hour. Larger bubbles represent more answered calls. Hover over a bubble to see the number of answered calls, or click a bubble with recorded activity to inspect those calls. Answered calls bubble chart by day of the week and hour This chart shows historical activity, not an answer-rate comparison or a guarantee of the best time to call. View individual call records Click a supported counter, team-member entry, chart point, or chart segment to open the detailed call view. Detailed call records table listing caller, blurred phone number, date, duration, resolution, disposition and type The detailed view includes: - Caller – Called: The Reply user and associated contact. - Contact phone number: The contact’s phone number. - Date and time: The call’s start date and time. - Duration: The recorded call duration. - Resolution: The recorded resolution name, where available. - Disposition: The recorded call status. - Replay link: Available when the call record contains a recording. - Type: Inbound or outbound, where recorded. Click a row linked to a contact to open the contact’s profile. Use the back control to return to the dashboard. 💡A missing replay link does not mean the call was unanswered. It means no recording link is available for that record. SMS statistics The Calls dashboard also includes SMS counters and an activity chart. SMS statistics counters and a monthly chart of SMS sent and replies The message statistics show: - SMS sent: Recorded outgoing SMS messages. - SMS replies: Recorded incoming SMS messages. - Reply percentage: Received SMS messages divided by sent SMS messages, multiplied by 100. - SMS tasks - Tasks completed - Tasks completed % The SMS chart shows sent and received message counts over time. Where your permissions allow access to task reporting, the dashboard also displays SMS task counts for the Created and Completed reporting categories. Click supported task counters to inspect the matching task records. 💡SMS message counts and SMS task counts measure different things. A task record does not confirm that a message was sent, and the reply percentage is not a unique-contact response rate. Export call data Use the export control at the top of the dashboard to request a CSV export based on your selected filters. Export button highlighted at the top of the Calls dashboard Export is unavailable while the report is loading or when there are no matching call results.

How Reply tracks prospects' interaction with your emails

In Reply, you can track how prospects interact with your emails using the following tracking systems: - opens tracking - link (clicks) tracking - opt out tracking - booked meetings tracking Let's take a look at how these systems operate. By default, we provide our tracking domains for all tracking systems. Nevertheless, we strongly recommend to set up custom tracking links to improve your deliverability. Learn more about the positive impact of custom tracking on your deliverability and how to configure it here. Open tracking By default, open tracking is disabled for all sequences. To enable open tracking, please navigate to Sequence Settings > General, turn on the Open Tracking toggle and hit Save settings. 💡 If Plain text mode is enabled, you'll need to turn it off before activating open tracking. Note: If you disable open tracking, you will stop seeing who opens your next emails because emails will start going without an open tracking link. Opens tracking link is a pixel, so if your prospect has disabled images or an email was delivered to spam where images are not displayed, you will not see the status Opened. Link (clicks) tracking By default, link (clicks) tracking is disabled for all sequences. To start tracking clicks, please follow these steps: Step 1: Hyperlink your links in templates using the Insert/Edit link button in the template editor. We wrap your links with our tracking link, so when a prospect clicks on the link in your email, our tracking link redirects to your website. Note: Reply will not track clicks in emails sent using the Send test button. Also, clicks tracking can reduce deliverability of your emails. Here is how you can find prospects who clicked on your links. Step 2: Enable links (clicks) tracking by navigating to Sequence Settings > General and turning on the Clicks tracking toggle. Remember to hit Save settings. Opt out tracking By default, opt-out via link is disabled for all email accounts, and the text Opt out is used. If you want your prospects to opt out via the link, you can do it using two options: - Enable opt-out via link in your email account settings - Insert an opt-out option directly into any Step of your sequence If Plain Text Sending mode is activated, and you have an opt-out link in your email, the link will be replaced with the opt-out text added in the settings for this email account. Booked meetings tracking Currently, this option is only available in Beta. After connecting your calendar to Reply, you will be able to insert a meeting tracking link into your emails. When a prospect books a meeting, he/she will receive the status Meeting booked.

Email metrics explained

In this article, we'll cover key metrics in email reports – what they mean and how they're calculated – as well as explain the columns from sequence-based and contact-based reports. The key metrics are the same across the Sequence Stats tab and the Email dashboard in Reports, and include: - Total / Contacted - Total accounts - Delivery rate - Open rate - Reply rate - Interested - Meetings booked - Opt-outs rate - Bounce rate - Not reached Total people Total people is the overall number of contacts included in the sequence. Total = Contacted + Out of Office + Bounced + Auto Replied contacts 💡 Note: - The total for multiple time ranges within a sequence may be higher than the overall total. - If you delete a contact, the value decreases. - If you delete a team member in team reports, the metrics do not change. Contacted Contacted shows the number of contacts who received at least one email. 💡 Note: - Does not include Out of Office, Bounced, or Auto Replied contacts. Total accounts The number of accounts (companies) involved in the sequence, based on the Total people metric. Delivery rate The delivery rate shows the percentage of emails successfully delivered across all sequence steps. Delivery rate = Delivered emails × 100 ÷ Total people 💡 Note: - Delivery rate excludes Bounced contacts, but includes Out of Office and Auto replies. Open rate The open rate shows how many contacts opened your emails. Open rate = Opened emails × 100 ÷ Contacted 💡 Note: - Does not include Out of Office or Auto replies. Reply rate The reply rate shows the percentage of contacts who replied. A reply is counted when an email is categorized in the inbox. Reply rate = Replies × 100 ÷ Contacted 💡 Note: - Does not include Out of Office or Auto replies. - It is based on historical data and may change over time. Interested The Interested metric represents the number of potentially interested contacts (based on the Inbox category). Here is the formula you need: - Interested in % = Interested x 100 / Contacted Meetings booked The number of meetings scheduled through your emails. Meetings booked % = Meetings booked × 100 ÷ Contacted Opt-out rate The opt-out rate shows how many contacts unsubscribed from your emails. This metric updates in real time. Opt-out rate = Opted out × 100 ÷ Contacted 💡 Note: - If you remove the Opted Out status from a contact, the value changes. - If you remove the contact with this status, the metric does not change. - If you delete the contact from the sequence and remove the Opted Out status, it will not be included in the stats. Bounce rate The bounce rate shows the percentage of emails that could not be delivered. Bounce rate = Bounced emails × 100 ÷ Total people Not reached This metric shows the number of contacts who did not receive an email. Not reached = Out of Office + Bounced + Auto Replied contacts Not reached rate = Not reached × 100 ÷ Total people Hover over this metric in the Reports page to see a detailed breakdown of Out of Office, Bounced, and Auto Replied contacts. Columns in sequence-based reports When you export a sequence-based CSV report, you'll see additional columns that describe the sequence, ownership, and contact activity. | Column | Description | | --- | --- | | Sequence name | The name of the sequence | | Sequence ID | Unique identifier of the sequence | | Owner email | The user who is the owner of the sequence. Introducing Trends: Compare Performance Across Periods with Ease

How to Enable Trends 1. To enable Trends, go to Reports → Emails. 2. In the top-right corner, open the Filters panel. 3. Select your current date range, then enable toggle Trends to activate period comparison. 4. Hit Apply. Once enabled, you’ll see three comparison options: - Previous Period (weekdays) - Previous Period (calendar) - Custom | Option | How it’s Calculated | Example | | --- | --- | --- | | Previous Period (weekdays) | Uses the same number of days as the current period and shifts backward while preserving weekday alignment. | | | Previous Period (calendar) | Takes the same number of days as the current period and simply moves backward in the calendar without checking weekday alignment. | | | Custom | Allows you to manually choose any comparison date range. Useful when you want to analyze seasonal trends, specific campaigns, or unique timeframes not covered by the presets. | | How the Comparison Calculation Works When Trends compares two periods, it shows you the percentage change between the current period and the comparison period. We calculate it using the standard growth/decline formula: - Now = the value of the selected metric in your current period - Was = the value of the same metric in your comparison period This formula shows how much the metric has increased or decreased relative to the earlier period. Examples: If your reply rate was 7% before and is 10% now: (10−7)/7×100=+42.86 Reply rate increased by ~42.86%. Note: if you see no comparison result, it means that there is nothing to compare: both values are equal. Understanding Reversed Logic Metrics Most metrics in Trends follow a straightforward logic: an increase is positive, and a decrease is negative. However, some metrics work the opposite way. For metrics that represent issues or failures, a lower value is better. These include: - Bounce rate - Opt-out rate - Not reached For these “reversed logic” metrics: - A decrease indicates improvement → shown as green - An increase indicates deterioration → shown as red Exporting Sequence Data with Trends When Trends is enabled, you can export your sequence performance together with the comparison data: This allows you to analyze period-to-period trends outside the platform, share results with your team, or use the data in your own reporting tools.
