Sync steps in HubSpot integration

Learn what data you can sync between HubSpot and Reply

The HubSpot integration lets you sync contacts, statuses, calls, tasks, emails, and LinkedIn activities between Reply and HubSpot.

This article explains how each sync step works and what data is synced between the two platforms.

Contacts

You can sync contacts in both directions between HubSpot and Reply.

For contact sync, Reply has two predefined field mappings:

  • First Name (HubSpot) → First Name (Reply)

  • Email (HubSpot) → Email (Reply)

You can also set up additional field mappings, including custom fields. When syncing contacts from HubSpot to Reply, you can choose to add them to a sequence as part of the sync.

💡Contacts need to exist in both systems for activity sync to work. If the contact isn't available in HubSpot, their calls, tasks, emails, or LinkedIn activities won't be synced.


Contact statuses

The People Statuses in Reply → Lead Status in HubSpot sync step lets you map people statuses from Reply to lead statuses in HubSpot.

The following mappings are preset:

  • Replied (Reply) → Select HubSpot field

  • Opted-out (Reply) → Unqualified (HubSpot)

You can change them or add more Reply statuses to the sync and map them to the relevant HubSpot lead status.

In the Advanced settings section, you can enable or disable the Sync each status only once toggle.

💡If multiple statuses are mapped, the sync follows the order in which they are mapped.


Inbox categories

Inbox Categories in Reply → Lead Status in HubSpot lets you map Inbox categories in Reply to lead statuses in HubSpot.

The following mappings are preset, but you can change them:

  • Interested (Reply) → Select HubSpot field

  • Not now (Reply) → Select HubSpot field

  • Do not contact (Reply) → Unqualified (HubSpot)

You can map each Inbox category to the relevant HubSpot lead status.

In the Advanced settings section, you can enable or disable the Sync each status only once toggle.


Emails

Automatic, manual, and direct emails are synced to HubSpot as Logged email activities.

Example:

The following mappings are predefined:

  • Email (Reply) → Logged email via Reply (HubSpot)

  • Contact (Reply) → Associated record (HubSpot)

  • Date & time of completion (Reply) → Activity date (HubSpot)

  • Sequence name, Subject line (Reply) → Email subject (HubSpot)

  • Email text (Reply) → Email body (HubSpot)

  • Task assignee (Reply) → Logged by (HubSpot)

In HubSpot, you can see whether an email was outbound or inbound, as well as the sequence name and step it was sent from, if available. To view these details:

  1. Open the email in HubSpot.

  2. Click Actions → View all properties.

  3. Check the Email subject field.

💡Reply matches contacts using their email address in HubSpot. Emails sent to a secondary email address aren't synced.


Calls

Reply can sync calls as contact tasks in HubSpot and associate them with the matched contact.

Example:

The following field mappings are predefined:

  • Contact (Reply) → Associated record (HubSpot)

  • Call Outcome:

    Positive resolution (Reply) → Connected (HubSpot)

    To call resolution (Reply) → No answer (HubSpot)

    Negative resolution (Reply) → Wrong number (HubSpot)

  • Call end time (Reply) → Activity date (HubSpot)

  • Call notes (Reply) → Description (HubSpot)

  • Recording link (Reply) → Recording (HubSpot)

  • Call duration (Reply) → Duration (HubSpot)

💡Custom call resolutions don't have a corresponding HubSpot disposition.


Tasks

Reply can sync tasks to HubSpot and associate them with the matched contact.

Example:

The following field mappings are predefined:

  • Task type (Reply) → Task type (Call, Email, To-do) (HubSpot)

  • Contact (Reply) → Associated record (HubSpot)

  • Sequence name, Task subject, and Task message (Reply) → Task notes (HubSpot)

  • Due date (Reply) → Due date (HubSpot)

  • Task assignee (Reply) → Activity owner (HubSpot)

When tasks are synced to HubSpot, the following fields are also set by default:

  • Priority: None

  • Reminder: No reminder

  • Queue: None

In the Advanced settings section, you can enable the Sync only completed tasks toggle to sync only completed tasks.

💡If a manual email task is completed without sending the email, it's synced as a task. If the email is sent from the task, it's synced as a logged email.


LinkedIn activities

You can sync automated LinkedIn activities performed as part of sequences, as well as direct LinkedIn messages and InMails sent outside a sequence.

💡Manual LinkedIn tasks and replies from prospects on LinkedIn are not synced.

Example:

The following field mappings are predefined:

  • LinkedIn activity type (Reply) → Task name (HubSpot)

  • Contact (Reply) → Associated record (HubSpot)

  • Sequence name (Reply) → Task notes (HubSpot)

  • Completion date and time (Reply) → Date and time (HubSpot)

  • Voice Message file (if available) (Reply) → Associated file (HubSpot)

💡For LinkedIn steps, only activities performed after the integration is enabled are synced. Historical activities aren't added to HubSpot.

For Voice Message activities, the audio file is also attached to the HubSpot task, so you can access it directly from the task record.
