The native HubSpot integration lets you sync contacts and other data, including emails, LinkedIn activities, calls, tasks, and more, between Reply and HubSpot.
In this article, we'll show you how to set up the integration and manage your sync settings.
Connect the HubSpot account
First, connect your HubSpot account:
Go to Execution → Integrations.
Click Connect next to HubSpot.
Log in to your HubSpot account, click Connect app, and confirm the requested permissions.
Once connected, the integration settings will open.
Choose an integration profile
You can choose between two profiles:
Default – Use the predefined setup with no customization.
Custom – Set up the integration yourself based on your needs.
Default profile
The Default profile comes with predefined sync steps and field mappings. You can start syncing right away, but you can't customize the setup, add, duplicate, or delete sync steps, change field mappings or filtering rules, or change the sync direction.
The predefined sync steps are:

(from) People in Reply → (to) Contacts in HubSpot
(from) People Statuses in Reply → (to) Lead Status in HubSpot
(from) Inbox Categories in Reply → (to) Lead Status in HubSpot
(from) Tasks in Reply → (to) Contact Tasks in HubSpot
(from) Calls in Reply → (to) Contact Tasks in HubSpot
(from) Emails in Reply → (to) Contact Logged Email in HubSpot
(from) LinkedIn activities in Reply → (to) Contact Tasks in HubSpot
The predefined field mappings are:
First Name (HubSpot) → First Name (Reply)
Email (HubSpot) → Email (Reply)
Custom profile
The Custom profile lets you configure the integration yourself. You can add sync steps, choose the sync direction, and set up field mappings and filtering rules.
Create a sync step
To create a sync step, click Add sync step.
The available sync steps are:
(from) Contacts in HubSpot → (to) People in Reply
(from) People in Reply → (to) Contacts in HubSpot
(from) People Statuses in Reply → (to) Lead Status in HubSpot
(from) Inbox Categories in Reply → (to) Lead Status in HubSpot
(from) Calls in Reply → (to) Contact Tasks in HubSpot
(from) Tasks in Reply → (to) Contact Tasks in HubSpot
(from) Emails in Reply → (to) Contact Logged Email in HubSpot
(from) LinkedIn activities in Reply → (to) Contact Tasks in HubSpot
Choose the sync direction
You can sync contacts in either direction: HubSpot → Reply or Reply → HubSpot.
To change the direction, click the corresponding icon in the Add sync step pop-up.
Add field mappings
After creating a sync step, you can add field mappings to define which fields should be synced between HubSpot and Reply.
Hover over the sync step and click the Settings icon.
Expand the Field mappings section.
Click Add field mapping.
Select the fields from the HubSpot fields and Reply fields drop-down lists.
Click Save.
To apply the same field mappings to all sync steps, click Save and apply for all steps.
Required fields
For Contacts in HubSpot ↔ People in Reply, the following field mappings are required:
First Name (HubSpot) → First Name (Reply)
Email (HubSpot) → Email (Reply)
💡 Important: Multi-select picklist fields are not supported in Reply. This means you cannot select multiple options in a single picklist field when syncing data with platforms like Salesforce, HubSpot, or Pipedrive. Make sure your contact fields use supported field types to avoid sync issues.
Add filtering rules
You can add filtering rules to any sync step to control which records are synced. For example, you can sync only contacts that meet specific criteria.
To add a filtering rule:
Hover over the sync step and click the Settings icon.
Expand the Filtering rules section.
Click Load filter.
Select a default filter (All, My, Opened, Replied, Bounced, Opted out, To call, or Clicked) or a saved filter from the People page.
Click Save.
💡HubSpot → Reply filters support up to two rules. Date and date-time filters can't be combined with another rule.
Configure ownership mappings
Ownership mappings are available in Team Edition and let you control which team member receives synced contacts when syncing between HubSpot and Reply.
💡If a contact's owner isn't included in the ownership mappings, the contact won't be synced.
To set up ownership mappings:
Hover over the step and click the Settings icon.
Expand the Ownership mappings section.
Click Add owner mapping.
Select the corresponding HubSpot owner and Reply owner.
You can add multiple owner mappings to route contacts to different team members.
If you enable Don't change owner on updates, ownership mappings are applied only when a contact is created. The existing owner isn't changed when the contact is updated.
Move contacts to a sequence
After adding filtering and ownership mappings, you can choose which sequence synced contacts should be added to. To move contacts to a sequence:
Hover over the Contacts in HubSpot → People in Reply step and click the Settings icon.
Expand the People to sequence section.
Click Add sequence mapping.
Select the sequence where you want to add the contacts.
Select the step where the contacts should start.
You can also configure how contacts are added to the sequence:
Ignore step delay – Skips the delay before the selected step. The sequence starts processing contacts as soon as the sending schedule is open. Delays configured for the following steps still apply.
Only for new records – Adds only new contacts to the sequence, so updated contacts are skipped.
If you're using Team Edition, you can add multiple sequence mappings for different team members. However, you can select only one sequence per team member within a single sync step.
💡If you need to send contacts to multiple sequences for the same team member, clone the integration step and apply different filtering rules.
Activate/Deactivate sync steps
Once you've finished setting up a sync step, turn on the toggle to activate it and start syncing data. Make sure both the sync step and the integration are enabled.
To stop syncing, turn off the step. To remove a sync step, hover over it and click the Remove icon.
You can also disconnect the entire integration by clicking Disconnect.
Logs
The Logs tab shows recent synchronization activity between HubSpot and Reply. You can see whether a sync was successful and how many contacts and other records were synced.
By default, the integration syncs data every 2 hours. To start a sync sooner, click Sync now.
When a contact is synced from HubSpot to Reply, the system adds a direct link to the contact's profile card. Click the link to open the profile in a new tab.
