Sync steps in Salesforce integration

Explore the available sync steps in the Salesforce integration

The Salesforce integration in Reply lets you synchronize different types of activities between the two platforms. This article explains the available sync steps, how they work, and any limits you should know about.


With Salesforce integration, you can sync:

  • Contacts/Leads

  • People Notes

  • People statuses

  • Inbox categories

  • Emails

  • Tasks

  • Calls

  • LinkedIn activities

Filtering rules and ownership mappings are available for all sync steps, so you can control which contacts and team members are included. Some sync steps also use predefined field mappings to match data between Reply and Salesforce. These field mappings cannot be changed.

Leads and Contacts

Reply supports bidirectional contact sync. You can sync Salesforce Leads or Contacts to Reply, and Reply contacts back to Salesforce.

Predefined field mappings include:

  • First Name (Salesforce) → First Name (Reply)

  • Last Name (Salesforce) → Last Name (Reply)

  • Email (Salesforce) → Email (Reply)

  • Company Name (Salesforce) → Account (Reply) (for Leads in Salesforce ↔ People in Reply)

You can also map other fields, including custom fields in Reply.

When syncing Salesforce contacts or leads to Reply, you can also push them directly into your sequences. For more details, see the Salesforce integration article.

💡Note: This step makes sure contacts exist in both systems. Other sync steps, like emails, tasks, or calls, can only sync once the contact exists in both Reply and Salesforce. If a contact is not created in Salesforce first, their activity will not be synced.


People Notes

The People Notes → Lead/Contact Notes sync step in Reply lets you move notes from contact profiles to Salesforce contacts or leads.

People notes are short comments linked to contact profiles in Reply. During outreach, you can save important details about a contact, and the sync transfers them directly to Salesforce.

Predefined field mappings include:

Ownership mappings let you link a Reply contact owner to a Salesforce user, and the selected Salesforce user will appear as the author of the synced notes.


Inbox Categories

The Inbox Categories → Lead Statuses sync updates Salesforce lead statuses based on inbox categories in Reply sequences, like Interested, Not Interested, or Forwarded. Contacts are moved to these categories automatically in Reply, and the sync updates Salesforce accordingly. The Salesforce user selected in ownership mappings will appear as the last editor.

💡 Note:

  • Inbox categories in Reply are different from Salesforce lead statuses, so use the Fields mapping block to match the values.

  • Use the Advanced settings toggle Sync each status only once if you want each status to sync only one time.


People Statuses

The People Statuses → Lead Statuses sync updates Salesforce lead statuses based on contact statuses in Reply. The Salesforce user selected in ownership mappings will appear as the last editor.

💡 Note:

  • Reply statuses are different from Salesforce lead statuses, so use the Fields mapping block to match values.

  • Use the Advanced settings toggle Sync each status only once if you want each status to sync only one time.


Emails

The Emails → Contact/Lead Tasks sync moves inbound and outbound emails from Reply to Salesforce. Emails from your sequences are logged as tasks for the corresponding contact or lead, so you can see them directly in Salesforce.

Predefined field mappings include:

  • [Reply] In/Out Subject → Subject in Salesforce

  • Send/receive date in Reply → Due date in Salesforce

  • Subject in Reply → Comments in Salesforce

  • Date Sent in Reply (UTC) → Comments in Salesforce

  • Email body in Reply → Comments in Salesforce

💡 Note:

  • Reply syncs direct emails, sequence emails (automatic or manual), bounce messages, and replies. Out-of-office and auto-reply emails are not synced.

  • Each email can be synced only once.

To see synced emails in Salesforce:

  1. Open the Leads or Contacts tab.

  2. Select a lead or contact.

  3. Scroll to Activity History to view emails related to that record.


Tasks

The Tasks → Contact/Lead Tasks sync moves tasks from Reply to Salesforce. This includes LinkedIn tasks, calls, manual emails, SMS, WhatsApp, and meetings. Tasks are logged as activities for the corresponding contact or lead in Salesforce.


​Predefined field mappings include:

  • Status in Reply - Task Status in Salesforce

  • Due date in Reply - Due date in Salesforce

  • Task owner in Reply - Assigned to in Salesforce

  • Type in Reply - Type in Salesforce

  • Contact in Reply - Contact or Lead in Salesforce

💡Note:

  • All tasks in Salesforce are set to medium priority by default.

  • Each task can be synced only once.

By default, Reply syncs only completed tasks. If you also want to sync pending tasks, you can disable the Sync only completed tasks toggle in the advanced settings.


Calls

The Calls → Contact/Lead Tasks sync moves call records from Reply to Salesforce. This allows you to see call history for each contact or lead in Salesforce, including notes, duration, recordings, type, and resolution.

Predefined field mappings include:

  • Call notes in Reply - Comments in Salesforce

  • Call duration in Reply - Comments in Salesforce

  • Call recording link in Reply - Link at the end of comments in Salesforce

  • Call type in Reply - Subject in Salesforce

  • Call resolution in Reply - Subject in Salesforce

💡 Note:

  • Calls can be synced only if a corresponding call record exists in Reply.

  • Each call can be synced only once.

  • Calls are available for syncing about 30 minutes after completion to ensure recordings are ready.


LinkedIn Activities

The LinkedIn Activities → Contact/Lead Tasks sync moves automatic LinkedIn activities from Reply sequences to Salesforce.

Predefined field mappings include:

  • Contact in Reply - Contact or Lead in Salesforce

  • Sequence Name, LinkedIn Activity type - Subject in Salesforce

  • Date & time of completion in Reply - Due date in Salesforce

  • Sent message (if available) - Comments in Salesforce

  • Voice Message file (if available) - Task attachment in Salesforce

💡Note:

  • Only automatic LinkedIn activities from sequences are synced. Manual LinkedIn tasks, direct messages outside sequences, or replies from prospects are not synced.

  • Only activities performed after the integration is enabled are synced; historical activities will not be added.

  • Voice messages are attached to the Salesforce task so you can access the audio file directly.
