Pipedrive integration

Learn how to connect Reply with Pipedrive to sync contacts and automate actions

Written by Tania

The native Pipedrive integration lets you sync contacts between Reply and Pipedrive and automate actions based on trigger events in Reply.

You can also use filters to control which contacts are synced and automatically add contacts from Pipedrive to your Reply sequences.

In this article, we'll show you how to set up the integration and manage your sync settings.

Set up the integration

To connect Reply with Pipedrive:

  1. Open Execution → Integrations.

  2. Find Pipedrive and click Connect.

  3. Enter your Pipedrive API key and click Authenticate.

You can find your API key in Pipedrive under Settings → Personal preferences → API.

Once the integration is connected, you can configure sync steps, field mapping, filters, and triggers.

Configure contact sync

On the Steps tab, you can create a sync step to move contacts between Pipedrive and Reply.

The available sync directions are:

  • People in Pipedrive → People in Reply

  • People in Reply → People in Pipedrive

Field mappings

To configure field mappings:

  1. Click a sync step to open it.

  2. Open the Field mapping section.

  3. Click Add field mapping to choose which fields should be synced between Reply and Pipedrive.

💡The following field mappings are predefined:

  • Email in Pipedrive → Email in Reply

  • Name in Pipedrive → Full name in Reply

Filtering rules

You can add filtering rules to control which contacts are synced. To add a filter:

  1. Create a filter in Pipedrive or use an existing one.

  2. Select the filter from the dropdown in the integration step.

  3. Click Save.

You can also save filters on the People page in Reply and select them from the dropdown.

Ownership mappings

You can map contact owners in Reply to team members in Pipedrive so contacts are synced to the right owner. To set up owner mapping:

  1. Open a sync step.

  2. Open the Owner mapping section.

  3. Click Add owner mapping.

  4. Select a contact owner in Reply and the corresponding team member in Pipedrive.

You can also enable Don't change owner on updates if you want the owner mapping to apply only when a contact is created. The existing owner won't be changed when the contact is updated.

💡 Important: Multi-select picklist fields are not supported in Reply. This means you cannot select multiple options in a single picklist field when syncing data with platforms like Salesforce, HubSpot, or Pipedrive. Make sure your contact fields use supported field types to avoid sync issues.

People to sequence

You can automatically add contacts from Pipedrive to an existing Reply sequence. To set this up:

  1. Open the People to sequence section.

  2. Click Add sequence mapping.

  3. Select the sequence where you want to add the contacts.

  4. Select the step where they should start.

  5. Click Save.

You can also configure the following options:

  • Ignore step delay skips the delay before the selected starting step, so the contact is processed as soon as the sending schedule is open. Any delays between the following steps are applied as configured.

  • Only for new records adds only new contacts to the sequence. Updated contacts are skipped.

Triggers & Activity

The Triggers & Activity tab lets you automate actions in Pipedrive based on specific events in Reply. For example, when an email is sent to a contact in Reply, it will be recorded as an activity for that contact in Pipedrive.

Available triggers include:

  • Email sent

  • Email opened

  • Email replied

  • Link clicked

  • Inbox category set: Interested

  • Inbox category set: Negative

  • Task completed

  • Call logged

  • Note added

  • Task created

You can also select the actions you want to perform in Pipedrive when a trigger occurs:

  • Record activity for the person

  • Create a deal

  • Move the deal to the next stage

  • Record activity for the deal

When creating a deal in Pipedrive, you need to select a pipeline. You can choose an existing pipeline or create a new one.

You can set up multiple actions for a single event in Pipedrive. These actions run automatically when the event occurs.

💡Triggers only work for contacts that already exist in both Reply and Pipedrive. They don't create new contacts, and the contact must be synced between both platforms for the trigger to work.

Triggers also don't apply to past events. They only run for events that happen after the trigger is enabled.
