Syncing calls and tasks from Reply to HubSpot

Learn how to synchronize your calls and tasks data between Reply and HubSpot accounts in a few easy steps

You can set up an integration from Reply to HubSpot to synchronize your outreach task and call activities. Use this option if you want to have the history of completed calls and tasks from Reply recorded automatically in HubSpot. Adding synchronization steps

To enable synchronization:

  1. Log into your Reply account.

  2. Open the Integrations page, find Hubspot, and click Configure.

  3. At the top of the page, select your profile: Default or Custom.

  4. For Default profile: Find and toggle on the steps:
    Calls in Reply ⟶ Contact Tasks in HubSpot
    Completed tasks in Reply ⟶ Contact Tasks in HubSpot

    For Custom profile: In the Steps section, click Add sync step.

    In the Add sync step dialog box, select the suitable option(s):
    Calls in Reply ⟶ Contact Tasks in HubSpot
    Completed tasks in Reply ⟶ Contact Tasks in HubSpot
    Click Add and toggle on the step.

  5. In the top right corner, click Sync now.

Existing completed tasks and calls are synced in HubSpot with the respective fields to the respective contacts. Keep the toggle on and, with the next sync sessions, tasks and calls will be regularly synced to HubSpot.

Note: When all the completed tasks are synced to HubSpot, their

  • Priority is None

  • Reminder is No reminder

  • Queue is None

When you sync multiple tasks that were completed in Reply to HubSpot, they are synced based on the task assignee: Task assignee ⟶ HubSpot account.

If a task has been completed or a call has taken place and the steps syncing is on but there is no such contact in HubSpot, the task or call is not synced.

Field mappings for calls

A logged call is synced as a logged call in HubSpot. Reply uses predefined field mappings for this type of synchronization. You cannot manually change them:

  • Contact in Reply - Contacted in HubSpot

  • Call Outcome:
    Positive in Reply - Connected in HubSpot
    To call in Reply - No answer in HubSpot
    Negative in Reply - Wrong number in HubSpot

  • Date and time of the call in Reply - Date and time in HubSpot

  • Call notes in Reply - Description in HubSpot

  • Link to the recording in Reply - Description in HubSpot

  • Call duration in Reply - Description in HubSpot

Field mappings for tasks

Reply uses predefined field mappings for this type of synchronization. You cannot manually change them:

  • Task type in Reply - Task name in HubSpot

  • Contact in Reply - Associated with record in HubSpot

  • Sequence name in Reply (if available) - Description in HubSpot

  • Message body/ task description in Reply - Description in HubSpot

  • Due date in Reply - Due date in HubSpot

  • Task assignee in Reply - Assigned to in HubSpot
