Sales Agent, provided by Reply.io, is an AI-powered assistant designed to streamline the creation of personalized outreach sequences; it allows you to effectively identify and engage your ideal customer profile (ICP) with minimal manual effort.

By entering just a few details about your target audience and the goal of your outreach, the Sales Agent selects the most suitable contacts and crafts appropriate messages for them. As a result, you can spend less time on sequence setup and more on building relationships and closing deals, making your outreach efforts more effective and less time-consuming.

Despite automation, Sales Agent offers flexibility. You can also refine your target audience, edit the autogenerated sequence steps, and adjust campaign settings to best match your specific needs and objectives.

How to Create a Sequence with the Sales Agent

Creating a targeted outreach sequence using the Sales Agent is quick and intuitive. Follow these steps:

  1. Navigate to the Sequence page via the header menu. Click the "New Sequence" button and choose "Sales Agent" from the dropdown menu.

  2. Input your data, select the audience, and then check and launch your sequence as shown in the video:

Here are detailed instructions for the steps for creating a sequence using Sales Agent:

Step 1. Input Your Data

Add information about your business, target audience, sequence objectives, and preferred language and tone for your sequence. This enables the Sales Agent to generate a customized outreach sequence, select ideal contacts, and design personalized communication steps.

Specify the industry your prospects operate in, for a more targeted approach, such as B2B, SaaS, Tech Startups, etc.

Describe the business problem you solve, the benefits of your product or service, and how it helps achieve better results.

For example: "enhance team collaboration", "book more sales meetings with automation", or "speed up project completion."

By

Describe how exactly your product or service helps achieve goals, detailing your solution, its value, and how it simplifies tasks. Example: "providing software that allows personalisation at scale".

I'm reaching out because

Mention the specific goal or reason for your outreach, such as introducing a new feature, launching a product, or announcing a special promotion.

Language

Choose the language for your communications; options include English and Spanish.

Tone

Select a tone that matches your brand's voice and resonates with your audience. Currently, you can select Friendly or Conversational.

Important: Complete all fields with meaningful information to avoid errors and ensure the effectiveness of your sequence. All the fields are required to be filled in. In case your input is not sufficient/is gibberish, you cannot proceed to the next steps.

After entering all information, click Next.

Step 2. Choose Your Audience

Following data input, the Sales Agent provides you with the list of contacts from Reply's Data that match your ICP, thereby ensuring that your campaigns are directed at the most relevant individuals and eliminating your need to search contacts by yourself.

The Sales Agent autoselects necessary filters like Industry, Employee headcount, Department, and Job title. You have the option to review and refine these filters to better tailor your audience. If needed, you can use the "Regenerate Audience" feature to make a new selection. Please note when regenerating, the previous selections will not be preserved.

Evergreen mode is automatically enabled for Sales Agent sequences, selecting 100 contacts from search results for you. This allows you to skip manual selection and move directly to the next step. Once the initial contacts are messaged, Evergreen mode replenishes your list with 100 new contacts to ensure your sequence continues seamlessly. You can pause or resume Evergreen mode anytime.

The Evergreen mode toggle and settings gear icon are located beneath the filters in the left panel. By clicking on the gear icon near the toggle, you can also check the available data credits in your account for contact searches and filtering settings. To deactivate Evergreen mode, toggle it off.

You have the option to select contacts manually, use Evergreen mode for automatic replenishment, or combine both methods.

For manual selection, check the desired contacts in the grid and click "Add Contacts" at the top. Use the "[ ] Selected" button for bulk actions like selecting all contacts on the page, all available, or deselecting all.

After adding contacts, click "Next" to proceed.

Remember: Each contact added from Reply's Data uses one data search credit, necessary for accessing contact details like phone numbers and emails. The number of your available search credits is shown in the upper right corner.

Step 3. Check the Sequence & Launch It

Based on your input data about your business and the goal of your sequence, as well as the selected contacts, the Sales Agent will shape up the whole sequence for you with the most suited autogenerated email steps as well as any other steps in other communication channels (Calls, WhatsApp, Social media connections and messages).

Review the generated steps for your sequence. You can also modify the text, or use Regenerate sequence button on top to get another result for the autogenerated sequence.

Notes on Regeneration:

  • Once regenerating action is taken, the previous option will no longer be accessible.

  • The regeneration button only works for the regeneration of text of email steps (subject+body).

  • You can use regeneration only during the sequence creation flow.

Once the sequence steps are ready, click Next and check the settings for your sequence (linked email and social media accounts that will be used as sending accounts, set the maximum number of first-step emails or delay between emails, enable/disable email opens and link tracking; replies, calls and tasks handling).

Confirm that all necessary details are accurate and the sequence is prepared for launch; if each item is verified with a green check, click "Save & launch."

After Launch: Reviewing Sequence Inputs

Post-launch, you can review the inputs used to create your sequence for future reference or optimization.

To check sequence inputs, open a sequence, navigate to the Settings tab, and expand the Sequence generation inputs section. You'll see the input content details, which are not editable to ensure the integrity of active campaigns.
