Step #3: Setting up a sequence

Once your email account is added and contacts are imported, you can start a sequence. A sequence is a series of steps to engage with your contacts. These steps can include Email, Call, SMS, WhatsApp, LinkedIn, Zapier, Task, Condition steps in any combination you like. 💡Important note: While connecting a mailbox is optional for creating sequences, it is mandatory for launching email campaigns. For SMS or LinkedIn steps, you need to provide the contact information (phone number and LinkedIn account). Setting up a sequence The Sequences tab is the default one in Reply, so you will not miss it. Here we have got 4 options for campaign creation: - From Template - you can use Reply's and your team's templates. - From Scratch - this option works best if you want complete control over the sequence. - From Magic ✨ - our AI will shape the sequence based on the entered prompt. - Jason AI SDR - an all-in-one sales automation tool; let AI build your campaign from scratch based on your business and offer, and add contacts in Autopilot using your filters. 💡Important note: Jason AI SDR sequences are available only on our AI SDR plans. Campaign from scratch We’ll go over how to build your sequence from scratch, starting with adding contacts. There are four ways to do it: - Import from CSV – Upload the contacts from a file. - Add from existing – Choose contacts from your existing lists in Reply. - Create manually – Add individual contacts by filling out their details. - Set up integration – Connect with your CRM or other tools to bring contacts in automatically. Once your contacts are added, the next step is setting up your sequence steps. Here are the types of steps you can use: - Email (automatic and manual) – ensure the contacts have the correct emails. - Call – contacts need to have valid phone numbers in the correct format. - SMS (automatic and manual) – same as for the calls, you need to add phone numbers to contacts. - WhatsApp – phone numbers for your contacts are required. - LinkedIn (automatic and manual) – you need to add the LinkedIn URL to the contact's card. - Zapier – use this to trigger external actions via Zapier. - Task – create to-dos or reminders for yourself or your team. - Condition – create different paths in your sequence based on specific criteria. During the sequence setup, you'll also see two additional options: Action and Merge. - Action (Move to sequence) – this lets you move contacts to a different sequence. You can choose both the sequence and the specific step where you'd like them to continue. - Merge – merge the current branch with another step in the sequence. The contact will then be processed on the step you selected. Apart from the creation, you have control over the steps management. Here is what you can do: - Reorder by drag-and-drop - Clone - Add and pause A/B variants - Set up a step delay - Delete 💡Important note: If you choose an Email step, make sure to set a subject line for Step 1. To keep all emails in the same thread, leave the subject line empty for Step 2 and onward. Sequence settings The next and final tab of the sequence setup is Settings. Here you have the campaign overview and general settings: - Account – you can connect your mailboxes and LinkedIn account in this tab. - General settings – set up max new daily contacts (people we plan for Step 1 per day), max number of emails (for the sequence per day), delay between emails - Schedule – work with the existing schedules or create a new one from scratch. - Replies handling – choose how to handle replied contacts, contacts with no replies, and people who have booked a meeting. - Calls handling – manage call steps handling and automatically call people. - Tasks handling – work with 2 drop-down menus: choose the owner of the tasks and pick the handling method. - Jason AI – set up your work with our Jason AI assistant by letting it handle replies and personalize emails. The final set of settings pertains to deliverability. Here, you can choose whether to use plain text mode and enable open or click tracking. By default, plain text mode is enabled for all new sequences, removing HTML formatting, images, and tracking links to send emails as plain text only. Once you have gone through all the steps, you can save the changes or launch the campaign right away. It is up to you!

Step #1: Connecting an email account

When you join Reply, you can add multiple email accounts from different providers to send and receive emails. 💡 Keep in mind, this step is recommended to be the first one as it is necessary to launch email campaigns. However, you can add it later and skip the setup to explore other Reply's features first. 🎥 See the video below to learn how to connect an email account. https://www.youtube.com/watch?v=SIlPao3AdPQ Once you are ready, follow these simple steps: 1. Go to the Email Accounts tab of your Settings. 2. Click New email account. 3. Select your email provider and click Continue. Connecting a Gmail account For GSuite mailboxes, we offer a single-click connection type, so it will only take seconds: - Select Gmail in the pop-up window. - Choose the mailbox you want to connect. - Sign in and accept Reply's Privacy Policy and Terms of Service. Please ensure to enable the 2-factor verification. When you connect a Gmail account using Gmail Single Click, Reply sends emails through Gmail API instead of SMTP. This option is enabled by default for Gmail Single Click accounts. Using Gmail API can help improve email deliverability and reduce the chances of emails being filtered as spam. You can also switch between Gmail API and SMTP at any time for supported Gmail Single Click accounts. To do this: 1. Select the Gmail account connected via Gmail Single Click. 2. Go to Settings and select either Gmail API or SMTP as the sending method. If you face issues with the single-click connection, choose the Other Provider option and enter the settings manually. SSL needs to be enabled for both sending and receiving: - Email - enter your email address - IMAP host - imap.gmail.com - IMAP port - 993 - IMAP password - Your Gmail app-generated password - SMTP host - smtp.gmail.com - SMTP port - 465 - SMTP password - Your Gmail app-generated password Connecting an Outlook/Office 365 account via Single-Click Connecting the Outlook account via single-click is similar to Gmail, so please enable your IMAP and then move to the sign-in. If the IMAP is not accessible, you need to ask your admin to enable this setting. The Exchange single-click variant is recommended for your EWS on Microsoft servers email accounts. It uses API for receiving emails instead of the IMAP. Connecting an Outlook/Office 365 account for IMAP/SMTP sending To set up an Outlook account for IMAP SMTP sending, follow these steps: 1. Choose the Other Provider option. 2. Enable the I want to use different email servers for sending and receiving emails toggle. 3. Enter SMTP credentials (Sending emails section). - Email - enter your email address. - Sender Name - Add the name you want to be displayed as the sender. - SMTP Host - smtp-mail.outlook.com - SMTP Port - 587 - Password - your email account password - SSL -  Ensure SSL is off 4. Save the Changes. This will unlock the Connect Office 365 button. 5. Click the Connect Office 365 button. You'll be redirected to your Outlook account to sign in. Once signed in, the system will automatically populate the IMAP settings for receiving. Connecting a Microsoft Exchange account This type is recommended for your EWS on private servers and the setup is slightly different: - Choose the Exchange (on-premises) option and click Continue. - Paste your email address into the Email field. - Use your mailbox password in the Password field. - Next to the EWS Endpoint field, click on the Autodiscover button. - Test the connection and Save the changes. Connecting Other Provider mailboxes The Other provider option needs manual setup, so here is what you need to keep in mind👇 - The provider should support IMAP, SMTP protocols, and third-party app connections. - The Host Names and Port Numbers are listed on the provider's side. - IMAP is enabled. When you are ready with the settings, click Test next to Sending/Receiving and ensure the dot is green. A red sign indicates an issue; hover over it for troubleshooting tips Read more about email accounts here: - Connecting email alias - Setting up an Outlook/Exchange email account - Setting up your Gmail account - Reply and different ESPs

Step #2: Importing contacts

You can import contacts to a new or existing sequence in the dedicated People tab. After successful import, the prospects will be added to both your campaign and Reply's list. 💡 Important: the file needs to match these requirements - Format and size - the list should be in a CSV UTF-8 (comma-separated) format. The xlsx* or any other format will not work. Each CSV file can contain up to 10,000 rows = 10,000 contacts. - Mandatory fields - make sure the First Name field is not empty; it is required. - Error Handling - if any of the required fields are missing or have the incorrect data format, you will get an error message. Numeric fields only accept numbers, no symbols, and no spaces. Make sure your phone number and any other numeric field only contain digits. CSV Import Once you are ready to add your contacts and start your sequence, you can do the following: - open the sequence and move to the People tab - click the Import from CSV file or Add Contacts button - the next step is uploading the file from the computer or dragging it to the window - once you have picked the file, you can map the fields in the file with the fields in Reply. Beyond the standard fields, you can add and map custom fields. - choose the contact identifier in the drop-down menu. When you choose a unique identifier (such as Email, Last Name, or Phone), it becomes the distinguishing key for each contact and prevents duplicates. Once it is chosen, other fields become optional. - select the import options: contact list, matched records and contacts without email handling, automatic timezone detection. Matched Records: - Update Missing Fields - this option overwrites existing contact fields with new data from your CSV file. - Skip - select this variant to avoid overwriting existing contacts' information. Records Without Emails: - Add Generated Emails - if your contacts do not have emails, the system will assign a placeholder genmail.com domain. These contacts will be skipped for email sequences but will work fine with SMS, WhatsApp, calls, or LinkedIn steps. - Skip - you can choose not to import contacts without email addresses. TimeZone: - Tick Detect contact time zone automatically to assign time zones based on the contacts' city/state and country data. This may extend the import time by up to 30 minutes. Import results and errors Once you finish all the settings, the system uploads your CSV file. You close the dialog window and continue your work in Reply. Once the import is ready, you will get a notification with the results. The results have different import statuses: Here is what each status means👇 - Imported - the number of new contacts added to your account. - Updated - the number of existing contacts in your Reply account; their profiles have been updated. - Skipped - duplicates that the system removed during the import. - Import Errors - records that failed to import due to missing mandatory fields or incorrect field formats (for example, the Phone field has symbols "-+"). If you are unsure of the reason, you can upload the full import result file and check the details.
